Job Tasks and Responsibilities
We are seeking an experienced Administrator/Document Controller to join our Project team for the closure and rehabilitation of Austar Coal Mine.
Reporting to the Project Manager, the successful applicant will be responsible for the effective administration and document control across the Project. Key tasks will include:
- Safety administration tasks including document control, incident reporting and action management
- Filing and reporting on Safety Interactions, PRIDES, Hazards and Work Hazard Control Plans
- Maintaining a record of current training and the training needs of personnel
- Onboarding of contractors to site including Pegasus administration of qualifications, inductions, competencies, insurances etc
- Coordinate inductions, site familiarisations and training as required
- Development and implementation of a document control procedure
- Maintaining a controlled set of hard copy and soft copy design drawings
- Issuing workflow reviews of documents and drawings
- Administration of M-Files software for the numbering, revision control and archiving of project documents and drawings
- Record keeping and archiving of hard copy documents
- Maintaining and organising the delivery of general office supplies such as stationery and kitchen supplies
- Coordinating contract office cleaners
- Raising purchase orders
- Taking meeting minutes
Skills and Experience
- Certificate III in Business Administration (highly desirable)
- Minimum 2 years previous experience in Mining or Heavy Industry (essential)
- Demonstrated experience using management systems such as Intelex and Pegasus
- Experience using document control and archival software such as M-Files is desirable
- Highly developed verbal and written communication skills
- Experience in using SAP procurement software
