About the Role
The role contributes to support the execution of administrative duties, including maintaining and coordinating meetings, communications, registers, part storage, and data management to ensure effectiveness of Infrastructure leadership team. The successful applicant will be comfortable in a dynamic and fast paced environment, with ability to maintain highest level of confidentiality. Reporting to the Superintendent Infrastructure, you will join an inclusive and strong performance orientated culture, where you will make a difference each day through providing outstanding support to a dynamic and engaging leadership team. In this role, you will be responsible for:
- Diary and email management to enable the efficient organisation and execution of daily activities;
- Preparing agendas, presentations, reports, and coordinating meeting logistics;
- Using SAP for purchasing (POs/ PRs) and vendor stakeholder engagement
- Using SAP for parts staging, parts tracking and parts coordination
- 5S management to keep Infrastructure areas in a clean and organised state
- Events and conference management with both internal and external stakeholders; and supporting projects and other ad hoc duties as required.
- Working closely with the team to support onboarding of new employees and assisting site access
- Travel and accommodation bookings
- Supporting Superintendent and Supervisors with administration duties such as printing, stationary management, PPE coordination, meeting minutes and other ad hoc duties as required.
- Weekly and monthly reporting routines and information analysis and interpretation of Infrastructure related systems and data.
About You
- Strong technical proficiency and fluency with Microsoft Office Suite including Excel and Teams
- SAP capability desirable
- Effective communication on a variety of levels and strong interpersonal skills
- Strong organisational skills and time management skills
- Achieves results through working with multiple stakeholders and managing multiple work processes in a busy, dynamic and complex environment.
- Ability to work in outward facing Customer Service team where quality of service is required.
- Foundational understanding of data visualization and storytelling communication skills
- Experience working in an operational environment with strong safety focus
