Macmahon has an exciting opportunity for an experienced Office Administrator to join the team at the Brisbane Corporate Office. As an Office Administrator, you will play a crucial role in supporting the administrative functions and contributing to the smooth operation of our busy Brisbane city office. 


This role is based at the Macmahon Brisbane Office on Level 21, conveniently located a 2 minute walk from Brisbane Central Station. The office boasts end of journey facilities for those self-powering their commute.

The role

  • Provide General Administrative Support to Brisbane Office personnel
  • Organise travel for Brisbane office staff
  • Collect mail, postage and manage freight to and from sites
  • Procurement of PPE, clothing, and technology for new and existing Brisbane staff
  • Raise purchase orders and requisitions for the payment of supplies or services
  • Assist sites with compliance of the workforce including maintaining currency of employee medicals and training documentation
  • Facilitate the flow of office communications through emails, telephone calls, and meetings
  • Monitor office consumable supply levels and initiate replenishment as needed
  • Engage with contractors and suppliers to ensure acceptable office standard is maintained
  • Maintain an efficient and up-to-date filing and archiving system
  • Prepare reports, papers, and presentation materials as required
  • Provide basic assistant support to upper-level supervisors, managers, and executives
  • Organise events and meetings
  • Occupy reception desk to manage low volumes of visitors that attend our office
  • Display flexibility and willingness to conduct other ah-hoc tasks as required by management

  • Proficiency in word processing suites and office communication tools
  • Ability to manage and prioritize multiple tasks
  • Strong organisational and time management skills
  • Excellent typing skills with attention to detail
  • Effective verbal and written communication skills
  • Familiarity with purchase order and invoice management
  • Proactive and adaptable approach to work
  • Ability to work collaboratively and support upper-level management
