About the Role
Responsible for coordinating and executing administrative tasks in onboarding, training, travel logistics, vendor management, and maintaining accurate roster and crew data in SAP. Support Supervisors and Superintendents in maintaining actions, site access and coordinating crew members across the site.
Accountabilities:
- Generate performance data to enable Supervisors and Superintendents to update Performance Boards.
- Prepare return to work packs for Supervisors to present to new swing (safety briefings, site updates etc.)
- Coordinate onboarding logistics for new starters ensuring travel (buses, flights and accommodation), site access, inductions, PPE and new starter announcements are executed.
- Collect team members from the Gate and transport them to work areas, including visitors and crew members undertaking drug and alcohol testing.
- For FIFO operations, update and book flights and accommodation for unplanned travel for the team (travel as per the roster should be managed by individuals via SAMs).
- Work with the Supervisor/Superintendent to manage all the logistics for contractor onboarding and logistics to enter site.
- Support the Supervisor in requesting additional labour (labour hire) ensuring induction and onboarding logistics are coordinated.
- Manage training registers and arrange mandatory training ensuring crew members are up to date and Supervisors are aware of requirements to manage planned work.
- Monitor rostering and leave requests ensuring any leave taken is reflected in Successfactors.
- Update SAP ensuring crew members are against the correct crews and roster patterns.
- Manage monthly accruals and submit to the Superintendent for approval.
- Raise, monitor and track purchase orders for resources, equipment and goods.
About You
Required:
- Intermediate level skills in Microsoft Outlook, Excel, Word and PowerPoint.
- Experience in coordinating and making travel bookings.
- Highly organised with strong ability to prioritise and multitask.
- Manual Drivers Licence with the ability to drive around a site.
Recommended:
- SAP experience specifically in managing purchase requisitions and vendor management.
- For FIFO operation, experience working to a roster and living remotely.
