We are searching for an experienced Department Secretary to join our world class Rail Logistics and Optimisation team, supporting the Manager and a group of Superintendents and Specialists.

Reporting to the Manager Rail Logistics and Optimisation, you will be responsible for:

  • Organisation, pre-work and preparation for 4 team days per year
  • Calendar management for 8 leaders to assist with coordination of meeting attendees and availability of suitable rooms / facilities
  • Site travel bookings as required
  • Site, meeting & visitor coordination and agenda development
  • Development of draft communications material & running reports
  • Provide assistance in raising PO’s and receipting
  • Assistance in development of presentation material
  • Manage end to end service requests for stakeholders
  • Assisting in the development of presentation material, including standard weekly and monthly updates
  • Planning & coordination of team meetings
  • Minute and action taking
  • Coordination of repeatable Rail Operational leader requirements (monthly safety and employee recognition submissions)
  • Monitor compliance training

What you’ll bring

  • Demonstrated ability to follow specific policies, procedures and guidelines
  • Sound problem-solving skills and ability to make decisions in a quick and thorough manner
  • Ability to multitask
  • Strong attention to detail whilst managing challenging and conflicting priorities
  • Prior experience within a similar role
  • Advanced ability to use Microsoft Suite packages
  • Sound experience in preparing correspondence, reports, presentations and agendas
  • Ability to communicate well at all levels both verbally and written

Where you will be working

You will be based at our world class Operations Centre nearby Perth’s Airport. Our privately owned and operated rail network is an essential part of our integrated production process and services our 15 mines across the Pilbara via 1,700km of track. With depots located at Tom Price, Cape Lambert and Dampier (7 Mile), trains operate autonomously between the mines and the ports, with each train comprising up to three locomotives and 240 ore cars stretching to approximately 2.7 kilometres in length with over 30 trains operating per day. We are also applying and adapting technology to improve safety and productivity across our rail network.
