About the role We are seeking a Divisional Secretary to join our Rio Tinto PMO and Functions teams. This is an exciting Perth-based opportunity to support a well-connected and collaborative team.

As a Divisional Secretary, you will be expected to demonstrate the highest levels of professionalism, discretion, and integrity. Your role will be critical in fostering strong working relationships across the organisation, while developing a comprehensive understanding of our systems, processes, and operational frameworks.Reporting to the General Manager for PMO and Functions, you will:

  • Provide administration and secretarial services to the General Manager, such as calendar management, managing workflow approvals, coordinating travel arrangements and itinerary, raising purchase orders, and processing company credit card statements, expenses and invoices

  • Coordinate arrangements for management team meetings, and events

  • Monitor deadlines and track actions across multiple workstreams to ensure timely follow-up and execution

  • Prepare high-quality briefing materials, agendas, and pre-read documents, ensuring the team is well-prepared for internal and external engagements

  • Anticipate and coordinate scheduling conflicts, ensuring effective use of time and balancing operational needs with strategic focus

  • Liaise with internal and external stakeholders on behalf of the team to streamline communication and improve response times

About youTo succeed in the role, you will have:

  • Proven experience in a high-level administrative or executive support role, preferably within a complex, fast-paced corporate environment 

  • A high degree of discretion and professionalism in handling confidential and sensitive information

  • A proactive and positive mindset, with a genuine commitment to fostering a strong and collaborative team culture

  • Exceptional organisational skills, with the ability to manage competing priorities, adapt to changing demands, and operate autonomously with minimal supervision

  • Advanced proficiency in Microsoft Office applications, including Outlook, Word, and PowerPoint

  • Outstanding written and verbal communication skills, with the ability to engage effectively across all levels of the organisation

  • Meticulous attention to detail, ensuring accuracy and consistency in all aspects of work

Where you’ll be workingThis role is based in Perth, at our head office in Central Park, working Monday to Friday with flexible working arrangements on offer.
