About the role 

We are looking for a Divisional Secretary to provide high-level executive support to the General Manager and the leadership team, helping leaders stay focused on operational priorities and ensuring key commitments are coordinated effectively. 

In this role, you’ll act as a trusted point of coordination for the General Manager, managing complex schedules, information, meetings and travel

while building strong relationships across Rio Tinto Iron Ore.  

You’ll bring structure and forward planning to a dynamic operational environment, anticipate competing priorities and help the leadership team work efficiently and stay connected. 

This is a great opportunity for an experienced Executive Assistant or Senior Administrative professional who enjoys working closely with senior leaders, exercising judgement and discretion, and making a visible contribution to a high-performing operational team. 

What you’ll be doing 

Reporting to the General Manager and working closely with the leadership team within Rio Tinto Iron Ore, you will be: 

• Provide proactive, high-level executive support to the General Manager and leadership team, anticipating priorities and coordinating complex day-to-day commitments. 

• Act as a trusted point of contact for internal stakeholders, triaging requests, coordinating information and supporting effective communication across the organisation. 

• Partner with business advisors and administrative professionals across Rio Tinto Iron Ore to align priorities, share information and support seamless leadership operations. 

• Manage the General Manager’s complex calendar, balancing competing priorities, scheduling key engagements and proactively resolving conflicts. 

• Coordinate meetings and leadership forums, including agendas, papers, logistics and follow-up actions to support timely decision-making and accountability. 

• Arrange domestic site visits and international travel, preparing detailed itineraries and coordinating changes to minimise disruption. 

• Organise leadership workshops, conferences and divisional events, including team days, service awards and end-of-year functions. 

• Manage executive administration and financial processes, including purchase orders, invoices and corporate credit card reconciliations, with accuracy and appropriate confidentiality. 

About you 

Required for success 

• A commitment to the safety of yourself and your team 

• Demonstrated experience providing high-level Executive Assistant or comparable support to senior leaders, with the judgement to anticipate priorities, manage competing demands and keep critical commitments moving in a complex, fast-paced environment 

• Proven ability to manage complex executive calendars, leadership meetings and travel with a high degree of autonomy, including prioritising engagements, resolving conflicts and adapting quickly as business needs change 

• Demonstrated discretion and sound judgement when handling confidential, sensitive and time-critical information on behalf of senior leaders 

• Highly effective written and verbal communication skills, with experience preparing executive correspondence and meeting materials and coordinating confidently across senior leaders and diverse stakeholder groups 

• Proficiency in Microsoft Outlook, Word and PowerPoint, with demonstrated attention to detail when producing executive correspondence, presentations and leadership meeting materials 

Helpful for Success 

• Experience providing executive support within mining, resources or another large-scale operational environment, with an understanding of the pace and priorities of operational leadership 

• Experience managing executive financial administration, including purchase orders, invoice processing and corporate credit card reconciliations
