Newcrest is seeking an experienced and detail-oriented Document Controller to oversee all aspects of document control for civil construction projects, from conception to completion. They will work closely with project managers, contractors, and other stakeholders to ensure that projects are completed on time, within budget, and to the satisfaction of all parties involved. 

This long-term contract position (3+ years) will be offered either as a full time 5/2 roster (Mon-Fri) to Orange NSW regional residents, or as a 12/6 roster for FIFO / DIDO workers. 

Key responsibilities include but not limited to: 

  • Maintain the Document Management System (Aconex) to meet the needs of all project participants. Ensure compliance to Newcrest Group Numbering Standard, Document Control Procedures and branding requirements. 
  • Manage access control to the Document Management System (Aconex) to maintain the security of project data. 
  • Manage the integrity of controlled documents and project deliverables ensuring quality control meets Newcrest standards. 
  • Ensure Newcrest project participants are trained in the use of Aconex and compliant with project document control expectations.  
  • Collaborate with project managers, engineering providers, contractors, and other stakeholders to ensure that all project documents meet Newcrest quality requirements, are accurate, complete, and delivered by the correct means and within the scheduled timeline. 
  • Monitor and report on the status of project documents, including tracking document status, overdue actions, and current revisions. 
  • Coordinate with external vendors and third-party contractors to ensure that all project documents are delivered and received to the required schedule. 
  • Participate in project meetings to provide updates on document control activities and communicate any issues or concerns. Support third party/independent project reviews 
  • Ensure project development is undertaken in accordance with Newcrest Gold Book and PMS requirements – including reporting. 

The document controller will play a critical role in ensuring the success of the project. The successful candidate will have a proven track record of managing large-scale projects, strong project management skills, and excellent communication and problem-solving abilities.  

You will also possess the following: 

  • Demonstrable experience in a leading document control role, with a focus on large-scale projects (infrastructure, roads construction, bulk earthworks or dam projects). Certification in Project management fundamentals advantageous 
  • Proficient in Aconex project management suite of applications (Aconex Accredited Professional highly advantageous). Proficient in Microsoft Office 365 suite of products; in particular SharePoint 
  • Strong knowledge of Records Management and Document Management principles, standards and regulations. Proven track record of successful document management and administration 
  • Excellent communication, and problem-solving skills, proven stakeholder management skills in environments with a large number of complex interfaces. 
  • Strong problem-solving skills, with the ability to identify potential roadblocks and develop strategies to mitigate risks and keep projects on track. 
  • Ability to work independently and as part of a team in a fast-paced, dynamic environment.
