About the Role
Based in Port Hedland, we have an exciting opportunity for an experienced and skilled Executive Administrator to support the General Manager Port at our Port Hedland Operation.
In this capacity, you will be responsible for providing high-level executive support in additional to general administrative support to the office of the Port Leadership team. You are skilled in managing various and at times conflicting priorities with efficiency and excellent attention to detail. You enjoy diverse stakeholder engagement, possess highly developed communication skills and have previous experience successfully supporting a dynamic leader.
Key responsibilities will include:
- Executive administrative support with high regard for confidentiality
- Extensive diary management including co-ordinating and scheduling meetings
- Pro-actively managing information flow and communications including phone calls and emails
- Planning and co-ordination of leadership team meetings, preparation of materials and minute taking
- Visa & AMEX reconciliations
- Management of travel arrangements, support and logistics
- Co-ordination of site visits and events
- Reporting and adherence to key business controls
- Provide support to managers on admin growth and development plans
About You
To be successful in this role you will possess the following skills and attributes:
- Excellent written and verbal communication skills
- A high level of professionalism in addition to demonstrated experience working effectively with senior stakeholders
- Expert planning and organisational skills with excellent attention to detail
- A highly motivated and results driven individual individual with excellent performance focus
- Working knowledge of 1SAP (desirable)
- Advanced digital literacy including video-conferencing, Cisco Webex, Office365 including sharepoint, Teams, Planner, OneNote, Word, excel and Outlook
