About the position

You will be responsible for providing high level executive administrative support to the Vice President, Australia and Operations leadership team in an effective and efficient manner. Key Performance Tasks:

  • Management and planning of the Vice President, Australia’s diary, and email management (including scheduling and preparation of meetings) to ensure they are kept up to date and accurate.
  • Assist the team with drafting, preparing and proofreading governance documents.
  • Developing and formatting documents, presentations, and reports.
  • Managing the collation of Contract Mining Australia executive and leadership reports.
  • Facilitating and drafting internal and external communications on behalf of the Vice President and Senior Leadership team for Contract Mining Australia.
  • Payment of executive, legal and office invoices, raising purchase orders.
  • Accurate and timely management of travel requirements.
  • Assist with the co-ordination of any executive meetings and liaise with leaders on various matters as required.
  • Researching and compiling information.
  • Supporting to the wider Contract Mining Australia Leadership team as required.
  • Scheduling and coordinating meetings, including booking rooms, catering, and preparing documentation.
  • Taking comprehensive and accurate minutes to document discussions, decisions, and action items.
  • Day to day management, coaching and support for the Hazelmere receptionist.
  • Managing complex travel arrangements for the Vice President and broader Operations Team.
  • Assist with the collating and formatting of monthly Board Report.
  • Log Keeper for the Barminco Emergency Management Team.
  • Manage all expense documentation for the Operations Team, including credit card statements for VP and GM.
  • Arrange employee reward/retention events e.g., premium hospitality at AFL matches, events at Optus Stadium.
  • Liaise with HR to ensure Long Service Leave video is updated every 6 months.

Required Skills:

  • Proven experience in providing executive support to a Senior Management Executive, preferable within the Mining industry.
  • Excellent interpersonal skills with the ability to work effectively in a team and use initiative.
  • Strong diary and time management skills
  • Ability to manage conflicting priorities and deadlines.
  • A high level of confidentiality and integrity 
  • Outstanding level of attention to detail
  • Medium to advanced proficiency in the Microsoft Office Suite
  • Self-starter with ability to multitask and liaise with all levels within the organisation.
  • Flexible approach to change in role scope and responsibilities

Required Qualifications:

  • Certificate or Diploma level qualifications in Business Administration and/or significant experience in an operational administration role desirable.
