Rio Tinto LG&CA are currently looking for an Executive Assistant to support the General Counsel Development & Technology and our senior managers.

A great opportunity for an experienced, hands-on, and highly organised individual who can easily adapt to the day-to-day challenges of this high-level role. Your recent experience in a similar role, a can-do attitude, along with attention to detail will see you soon become a highly valued member within these teams.

Working within a team environment together with being adaptable to working autonomously, you will provide a full range of administrative/secretarial executive assistance to the aforementioned legal teams, exercising high degrees of confidentiality, tact and diplomacy including;

  • Being responsible for diary and email management for the GC and GM roles, with an understanding of business context to enable appropriate prioritisation.
  • Coordinate and organise business and team meetings, room bookings and invites
  • Produce presentations, reports and meeting agendas, taking notes when required
  • Arrange and co-ordinate business travel
  • Provide end to end purchasing and expense management support, primarily across vendor management and external legal spend
  • Monitor, track and action tasks, escalating and delegating where appropriate
  • Develop and maintain a good working relationship within the wider Rio Tinto to ensure LG&CA is well placed to deliver its mission
  • Onboarding contractors
  • Extensive liaison with external law firms

What you’ll bring

To succeed in this role, you will have the following experience and attributes: 

  • Demonstrate a high level of administration experience in a similar role with a global reach working across multiple time zones, business units and stakeholders that will require working flexibility
  • Highly proficient and experienced using SAP
  • Ability to always be one step ahead, being proactive when it comes to the needs of your executive
  • Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite and internal systems
  • Be highly organised, a ‘can do’ attitude and good problem-solving attributes
  • Excellent verbal and written communication skills 
  • Be proactive, a great multi-tasker and take initiative with a business improvement mindset
  • A knowledge of the Passport e-billing system would be advantageous along with electronic document management systems
  • A knowledge of Blueprint and company secretarial administration will be viewed favourably.
