About The Role:
We are currently seeking an energetic and dynamic Executive Assistant (EA) with exceptional skills and a can do attitude, to join our team based in our Osborne Park office.
We are searching for someone with excellent judgment, integrity, and discretion in high-pressure situations. Building trust and professional connections with stakeholders is essential. The role requires a proactive, experienced professional adept at handling shifting priorities and promoting teamwork to achieve results.
Key Accountabilities & Responsibilities:
Reporting to the CFO, the successful candidate will have the opportunity to display their superior clerical and administrative support and perform the following duties:
- Oversee the daily organisation of the management diary, including complex flight arrangements, bookings, administration and liaising with internal and external stakeholders for finance, legal and the IT team;
- Assist with preparation of the company’s annual report as requested
- Assist with AGM preparation including;
- Book venue and arrange meeting room set-up
- Printing of Annual report
- Rollover AGM slides
- Proof read papers
- Assist with updating EHL website and Intranet with ASX announcements
- Maintaining appropriate corporate registers and records of the relevant Group Companies
- Expense claims
- Process Invoices for payment via Workplace
- Custodian of the yearly calendar .
- Assist with Board Meeting preparation including but not limited to;
- Format, proof read, collect and distribute board papers (Diligent, Pdfs and hard copies)
- Placeholder invites sent to Board Members
- Arrange travel for Board Memebers
- Regularly attend meetings, accurately compile meeting minutes, and provide general assistance at meetings;
- Responsible for the Osborne Park office management
- Investor relations programming
- Assist with projects within the department; and
- Handle adhoc tasks as required.
About the Ideal Candidate:
- At least 5 years' relevant experience in an corporate environment is essential;
- Ability to work flexible hours, including working evenings and weekends when and if required;
- Self-motivated, self-starter;
- Experience managing complex travel arrangements and diary management;
- Strong interpersonal skills, including written and verbal communication with all stakeholders including staff, suppliers and clients;
- Exemplary attention to detail;
- A high degree of computer literacy in the Microsoft Office package with abilities in word processing, creating spreadsheets, powerpoint presentations, databases, email management and other web based systems;
- High level organisation and file management skills;
- Excellent time management and organisational skills and a pragmatic approach to tasks; and
- Problem solving skills and ability to deal effectively with difficult situations and a willingness to find creative solutions.
