The opportunity

We have an opportunity for an experienced, hands-on, and highly organised Executive Assistant to join the Global Procurement team.

Reporting to the Head of Global Procurement and providing support to Procurement General Management team, you will be responsible for providing high-level administrative support, managing schedules, coordinating meetings, and handling various other tasks to facilitate the efficient functioning of the executive office.

 Key responsibilities of the role will include:

  • Provide a high level of administrative and secretarial support directly to the executives and the team with the management of their day-to-day activities as required
  • Be responsible for diary and email management together with call screening and visitor assistance
  • Coordinate and organise business and team meetings and events, room bookings and Outlook invites
  • Produce presentations, reports and meeting agendas, taking notes when required
  • Arrange and co-ordinate business travel, including international travel
  • Monitor, track and action tasks, escalating and delegating where appropriate
  • Lead and assist in project-based workflow where required and be the go-to person for the extended team.
  • Develop and maintaining a good working relationship with the other EA’s and providing leave backfill as required
  • Manage end to end service requests for stakeholders (e.g., Purchase requisitions in SAP, RTTMS tickets, etc.) 
  • Participate as a leader within the team, being able to express the values of care, courage and curiosity

To succeed in this role, you will have the following experience and attributes: 

  • Demonstrate a high level of administration experience in a similar role with a global reach working across multiple time zones, business units and stakeholders that will require working flexibility
  • Ability to always be one step ahead, being proactive when it comes to the needs of your team
  • Be a great team member, supporting and challenging each other regardless of level or role
  • Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite and internal systems
  • Be highly organised, a ‘can do’ attitude and good problem-solving attributes
  • Excellent verbal and written communication skills 
  • Be proactive, a great multi-tasker and take initiative with a business improvement mindset
