We have an opportunity for an experienced Executive Assistant to join the Rio Tinto Group Technical team based in Perth. This is a busy role coordinating high-level administrative and event management activities for a busy Leadership team. You will work in partnership with the Portfolio Manager and other department EAs to plan and deliver initiatives, whilst ensuring the smooth running of the department. Working closely with a variety of internal and external stakeholders, you will act as the go-to person demonstrating leadership and initiative.

Reporting to the Managing Director, Group Technical you will:
- Provide a full range of secretarial/administrative support activities, exercising a high degree of confidentiality, discretion, and diplomacy.
- Develop and maintain positive working relationships across the internal network to facilitate the effective management of key engagements with stakeholders.
- Manage a team of two direct reports to ensure the effective running of the department.
- Support in the production of presentations, reports and meeting agendas, taking notes when required.
- Maintain files, records, calendars and diaries; coordinate meeting arrangements, and track expenses.
- Participate in the development and implementation of administrative standards, policies, and practices for the organisation.
- Manage end to end service requests for stakeholders via ServiceNow.
- Provide end-to-end purchasing and expense management support including reporting and cost analysis.
- Plan and coordinate domestic and international business travel and develop associated meeting agendas.
What you’ll bring
- Prior experience in a business support role providing secretarial/administrative services to a busy executive
- Excellent time management, prioritisation, problem solving and organisational ability
- Polished and articulate communication style with excellent written communication skills
- Ability to always be one step ahead, being proactive when it comes to the needs of your executive
- Proficient computer skills with in-depth knowledge of relevant software such as MS Office Suite and ERP systems
- Be proactive, a great multi-tasker and take initiative with a business improvement mindset
- Prior experience leading a small team would be well regarded though not essential

Rio Tinto’s Development and Technology group engages and partner with Rio Tinto businesses across 73 operating sites, 35 countries and 6 continents to help create value, manage risk and innovate for the future, whilst providing range of support and services functions, to ensure technical optimisation, establish and transfer best practices, develop strategies to drive performance improvements, and ensure that technical innovation provides a source of long-term competitive advantage.
This role is based in the Perth Central Park Office. A flexible working arrangement is in place with a balance of office-based (five days per fortnight) and work from home in place.
