As an Executive Assistant, you will provide high level administrative and coordination support to leaders and teams across the business. You will be responsible for managing complex priorities, coordinating executive schedules, and ensuring the smooth delivery of day-to-day business operations. Acting as a trusted point of contact, you will exercise discretion, sound judgement and strong stakeholder management skills while supporting a dynamic and fast-paced environment.

Key responsibilities

Reporting to the relevant leader, you will:

  • Provide high-level administrative and coordination support to leaders and teams
  • Manage complex calendars, coordinating appointments, meetings and competing priorities
  • Arrange domestic and international travel, accommodation, itineraries and associated logistics
  • Act as a key gatekeeper, managing communications, requests and stakeholder interactions with professionalism and discretion
  • Anticipate business needs and proactively identify opportunities to improve efficiency and support outcomes
  • Coordinate leadership meetings, team meetings and Town Halls, including agenda preparation, presentation development and follow-up actions
  • Support the planning and delivery of team events, workshops, off-sites and engagement activities
  • Prepare reports, dashboards, presentations, correspondence and other business documentation
  • Assist with newsletter content, team communications and business updates
  • Process and track service requests, expenses and administrative workflows
  • Coordinate visitor management, meeting room bookings and office logistics as required
  • Support business improvement initiatives, projects and a variety of ad hoc administrative activities

What you'll bring

You are an experienced Executive Assistant / Coordinator who thrives in a busy environment and takes pride in staying one step ahead.

You will also have:

  • Demonstrated experience supporting senior leaders or business teams in an administrative, coordination or executive support capacity
  • Proven ability to manage multiple priorities and maintain composure in a fast-paced environment
  • Strong diary management and travel coordination experience
  • Exceptional organisational skills with a high degree of attention to detail
  • A proactive mindset with the ability to anticipate needs and resolve issues before they arise
  • Strong stakeholder management and relationship-building capabilities
  • Experience exercising confidentiality, sound judgement and professionalism when handling sensitive information
  • Excellent written and verbal communication skills
  • Advanced Microsoft Office skills, including Outlook, PowerPoint, Word and Excel
  • Experience preparing presentations, meeting materials, newsletters and business communications
