About the Role
The Executive Assistant, which internally position as Team Administrator role will support the Vice Presidents (VPs) of Business Development Minerals Australia (BD MinAu), the Vice President of Strategy, Market and Intelligence supporting (SMI) and the Brisbane and Adelaide Office teams of Portfolio Strategy and Development (PS&D) function.
The role will report to the VP BD MinAu.
In the role you will be responsible for providing executive support to the VPs whilst offering general administration support to Heads Of and PS&D teams when required.
In this role, you will be required to have the ability to handle work in a fast-paced environment, as well as being able to manage various and conflicting priorities with excellent attention to detail. You will be a strong communicator, comfortable with stakeholder engagement across all levels of the organisation.
In this role your responsibilities will include:
- Calendar management to enable the efficient organisation and execution of daily activities for the two VPs, including frequent travel arrangements, travel agenda and external engagements.
- Provide secretariat services to the VPs, including to set meeting agendas, document minutes and actions, reporting and document management.
- Proactive management of VPs pre-read documentation for meeting attendance.
- Deliver discreet pieces of work on behalf of the VPs to support the overall objectives of SMI and BD MinAus.
- Coordination and delivery of team events and leadership activities.
- Support the Brisbane and Adelaide Office PS&D teams to raise purchase orders through the BHP procurement process to ensure vendors are paid on time.
- Managing VPs communications and BHP Operating System (BOS) related activities.
- General administration as required.
About You
As a successful candidate you will possess the following:
- Demonstrated relevant experience in supporting senior leaders in the executive or C Suite levels.
- The ability to build strong and genuine relationships and work collaboratively with internal and external stakeholders across all levels.
- Exceptionally well organised, proactive in your approach to work, with a strong ability to multi-task and prioritise a variety of complex tasks.
- While it is not mandatory, experience working in large legal firm are desirable.
- Strong attention to detail, ability to understand complexity and a track record of providing quality information to senior management.
- Multi-tasking abilities to manage competing priorities within tight time frames.
- Strong skills to manage multiple calendars and use the suite of Microsoft Office products.
- Proven track recording in BHPs purchase order and payment system or similar.
- Project and/or mining industry experience well regarded, with experience across a variety of roles.
Location and Roster
This is Brisbane base role. You will be working on Monday-Friday roster. Flexible work is also offered.
