About the role: An opportunity exists for an experienced Executive Assistant to join us and support the Executive General Manager, Coppabella Moorvale Joint Venture. Our Coppabella Moorvale mine complex consists of two open-cut mine operations located approximately 140 kilometres southwest of Mackay that produce premium low-volatile pulverised coal (LV-PCI) for export markets. Reporting directly to the Executive General Manager and play a crucial role in ensuring the smooth day to day functioning of the executive office whilst supporting our leadership team. Working in a dynamic environment, you will support these needs in a cost-effective and efficient manner, ensuring that business practices are followed, and continuous improvements are introduced. Duties will include:
- Efficiently managing and coordinating the EGM’s calendar, scheduling meetings, appointments, and travel arrangements
- Acting as a primary point of contact between the EGM, leaders and internal team members as well as clients and external partners
- Develop, coordinate and comply with the site document management systems
- Drafting and reviewing site wide correspondence on behalf of the EGM
- Coordinating site visit arrangements for corporate visitors, customers and JV partners
- Preparing and reviewing meeting agendas, materials and presentations. Taking accurate meeting minutes and follow up on action items as required
- Generating purchase orders and processing of invoices in a timely manner
- Maintaining confidential files and records ensuring accurate and ease of access to documents
- Providing mentoring and leadership to administrative functions on site to ensure streamlined, structured and cost-effective processes
- Leading the planning and coordination of company hosted events
About You
- Prioritise and manage competing demands effectively to ensure optimisation of leaders’ time
- High level of attention to detail, confidentiality and discretion
- Exceptional verbal and written communication skills to provide professional support to leadership, team members, and external partners
- Strong Microsoft Office Suite skills with a particular focus on Word, Excel and Powerpoint
- SAP experience will be highly regarded
- Minimum 3 years’ experience in a similar position, ideally in the resources sector
- Exceptional organisation and communication skills and high attention to detail
- An individual with a resolute mindset, capable of driving tasks to meet timeframes
- A Certificate in Business Administration would be advantageous but not essential
The lifestyle: This position is offered on a 9-day fortnight (Mon-Fri/ Mon-Thurs) roster with one rostered day off every other week. FIFO or DIDO options available to allow for a residential lifestyle. Employees living locally may have the ability to salary sacrifice up to 50% of your mortgage interest or rental payments.
