The Opportunity – Permanent Position
The position of Executive Assistant to the VP Health and Safety Culture and VP Planning provides comprehensive Executive Assistant support to ensure:
- the timely and effective flow of information and communication
- the VP’s activities are organised and co-ordinated; and
- routine issues are dealt with effectively and in a timely fashion.
Accountabilities
Record-keeping and document processing; including but not limited to:
- Recording actions/outcomes of meetings as required.
- Maintain registers in accordance with VP’s needs (i.e. correspondence, travel approvals; gift receiving and giving).
Budget and Expense Management
- Assist in preparing annual department budget.
- Manage monthly expense claims for self and preparation of the VP’s.
- Process goods and services requisitions; i.e. invoice management.
Organisation
- Develop, implement and maintain office procedures to ensure the smooth running of the VP’s office.
- Deliver effective diary management to ensure that appointments are made to best utilise time and that adequate preparation time is scheduled.
- Organise travel such that it is time/cost effective
Communication
- Liaise with people from all levels (internal/external) to ensure accurate and timely information flow between all parties.
- Assist in the implementation of continuous improvement by looking for new opportunities to improve work practices and procedures
About You
You will be required to have the following.
- An overriding commitment to health, safety, environmental responsibility and sustainable development.
- Handle general administrative tasks on own initiative, including timely and tactful response to correspondence and enquiries.
- Sound knowledge of Microsoft Office suite, with excellent Word; PowerPoint skills and Excel.
- SAP (desirable not essential).
- Time management skills.
- A passion for efficiency, simplicity and continuous improvement.
- Discretion and confidentiality.
- A desire to excel in the role and be proactive in assisting the smooth operation of a highly professional function and leadership team.

Qualifications
- Exposure to the resources industry.
- Business College Certificate in Secretarial Studies or equivalent experience
