About the Role

We have an exciting opportunity for an experienced Executive Assistant to support the General Manager, Mining Area C in Western Australia with a roster flexible around 5/2/4/3 or 5/2/4/3/9/5 or variant on those. 

Reporting to the General Manager, you will be responsible for providing high level executive support whilst offering general administration support to the team when required.  You will have the ability to handle work in a fast paced environment as well as being able to manage various and conflicting priorities with excellent attention to detail.  You will be a strong communicator, comfortable with stakeholder engagement across all levels of the organisation, with a proven ability to successfully support a dynamic leader.

In this role your responsibilities will include:

  • Provide high level support to the General Manager and Leadership team with a high regard for confidentiality
  • Extensive diary management including coordinating and scheduling of appointments and meetings ensuring the General Manager’s commitments and KPI’s are met
  • Preparation of statistical data and reports as required
  • Use of 1SAP to create purchase orders, purchase goods from the warehouse and e-catalogue
  • Co-ordination of site access and visitors
  • Co-ordination of events and functions including team building days and offsite meetings
  • Visa & AMEX reconciliations
  • Manage employee and contingent worker movements in Employee Central through Admin KPT
  • Regularly administering and assisting with audits
  • 1SAP/SAP reservations and requisitions
  • Flight & accommodation bookings via Workflow & AEGBT portal

About You

  • Previous experience in supporting senior leaders
  • Strong planning and organisational skills with high attention to detail
  • High level verbal, written communication, and interpersonal skills
  • Working knowledge with 1SAP highly desirable
  • Extensive knowledge of Microsoft Office Suite
  • Experience using the BHP internal systems including; SAMS Workflow, FLEX, SharePoint and 1DOC
