About the Role

We are currently seeking for an Executive Assistant to join West Australia Asset Projects.  This is a Full Time (Permanent) opportunity reporting to the Head of West Australia Asset Projects.

You will be an integral member of a diverse, dynamic and results driven department.  Your duties include administrative duties, management of OneNote and high level document distribution and management, foster strong interactive and interpersonal skills with stakeholders, coordinating meetings and conferences, maintaining calendar and arranging domestic/international travel.  

Key accountabilities include:

  • Supports the development and delivery of work plans, manages the execution of administrative functions and communications, designs/carries out essential data management practices and fosters a positive team culture to drive efficiency across administrative processes and operational routines.  
  • Develops and communicates insights that guide data driven action and decision making.  
  • Sources information, plans and conducts analyses to support evidence based decision making.  
  • Identifies, engages and manages a range of diverse internal and external stakeholders.  
  • Applies and evaluates change management tools, methods, data, purpose, value and strategic direction.  
  • Supports the management of vendor/customer selection, contracts, and performance to maximise operational and financial outcomes and mitigate BHP's exposure to risk.  
  • Applies an understanding of the business context, BHP operating model and ways of working to enhance decision making, productivity and value chain performance.  
  • Strives to achieve 100% safety, 100% customer value and 0% waste.  
  • Engages the capabilities of the entire organisation.  
  • Foster a culture of inclusion, learning, friendship, positivity, and productivity in line with BHP values.
  • Foster key relationship with senior management
  • Supports team performance and capability development through peer support, collaboration, sharing of lessons learned and providing on-time feedback.

About You

  • Previous Executive Assistant/Administrative experience essential
  • Strong interpersonal skills are essential, allowing you to influence while also enabling you to build relationships across multiple departments and senior management
  • Strong Stakeholder engagement skills and the ability to communicate effectively across multiple levels and disciplines across the business.
  • Ability to work collaboratively with senior leadership to support administrative practices that meet productivity and operating targets
  • Strong problem-solving skills with a collaborative approach to finding practical solutions. 
  • Ability to manage competing priorities within tight timeframes and meet deadlines
  • Ability to be organised and proactive in your approach to work and multi-task while prioritising a variety of complex tasks
  • Strong attention to detail, ability to understand complexity and a track record of providing quality information to senior management
  • Extensive knowledge of Microsoft Office Suite
  • Calendar Management and efficient support on out of routine requests, ensuring optimal time utilisation and BOS practices
  • Managing confidential and sensitive matters with diplomacy
  • Project and/or mining experience is highly valued.
