About the Role:
Supporting the President of FFI, North America and working closely within the high performing and dynamic leadership team, you will be reliable for providing integral support and assistance.
This is a newly created position which will best suit someone who thrives on going above and beyond, has a personable approach, is energetic and enjoys working in a fast-paced environment.
To be successful in this role, you must be a diplomatic and resilient seasoned executive assistant with a positive and flexible outlook. With proven experience in establishing and running an office and supporting the leadership team with calendars and travel, you will be an invaluable part of the team,
You will be highly organised, pro-active, able to support the team in a variety of work efforts from presentation development to research with Microsoft Office skills essential.
Key responsibilities
- Work within the President’s office to coordinate and provide support to the Leadership team where required.
- Build strong relationships and liaise with officials, internal and external senior level stakeholders.
- Use strong organisational skills and attention to detail to manage complex calendars, diaries, and emails.
- Prepare and revise documents including letters, reports, meeting minutes and presentations.
- Plan, organise, and coordinate events, travel, meetings, and schedules.
- Manage office tasks including maintaining records, mail and ordering supplies as needed.
- Performs additional duties as assigned by executives.
- Performs other related duties as required.
QUALIFICATIONS AND SKILLS REQUIRED
- At least 5 years of experience in a similar executive level support position within a fast-paced dynamic environment with 10 years of overall experience.
- Experience supporting a Leadership team is highly desirable
- Highly organised and pro-active approach
- Strong interpersonal skills
- Demonstrated experience dealing with highly confidential matters
- Excellent organizational, attention to detail and time management skills
- Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
- Experience using Concur, SAP preferred
- Proven ability working in a high-paced and at times stressful environment.
- Able to work outside of core office hours as required
