We are looking for a customer service extraordinaire — ideally someone experienced within a fast-paced, office administration environment—who can work with people at all levels of the organisational hierarchy, and deal with inevitable last-minute administrative requests.

Reporting to the Senior Floor Coordinator, and working in a collaborative team, driving administrative improvement and consistency throughout the Brisbane office, you will be (but not limited to):

  • Providing ownership and being the “go-to person” for your floor/s
  • Coaching and supporting your fellow team members to use our self-service business processes; including expense management and travel
  • Supporting the business with travel arrangements
  • Onboarding new starters in partnership with leaders
  • Providing on-the-ground logistical support for workshops, including arranging catering
  • Identifying improvement opportunities
  • Backfilling for executive assistants when needed
  • Monitoring and optimising meeting room usage and availability
  • Helping coordinate service awards
  • Engaging the people on your floor/s aka “rallying the troops” when required

What you’ll bring

  • A commitment to the safety of yourself and your team
  • Experience coordinating travel arrangements
  • A helpful “can do” attitude
  • The ability to manage competing priorities, work well under pressure, and be flexible
  • Exceptional time management skills, with the ability to forward plan
  • Demonstrated experience working in a large team environment
  • The ability to build and maintain strong relationships
  • Proficiency in the MS suite

It would be beneficial if you had:

  • SAP purchase order and invoicing experience
