Manager Office & Facilities
Work Location: Fortescue Centre - Fortescue’s Perth office is located on the traditional lands of the Whadjuk people.
Roster: Monday to Friday
We are seeking an experienced Manager Office & Facilities to support integration efforts to centralize processes, develop efficiencies, create consistency across offices, consolidate vendors and champion national and global initiatives and office operations process improvements across the office and facilities management teams. The successful person will provide direct line management responsibilities for the Office Manager and Superintendent Facilities Management and provides consistent support of the day to day needs of Perth, national and Global office spaces, and staff, and supports global initiatives.
Key responsibilities include:
- Preparation, control and monitoring of budgets, service agreement in accordance with budgetary agreement and the timescales set by the business,
- Produce management reports in accordance with the needs of the business
- Day to day management of leases including car parking (issues, correct payments, variations, expirations etc)
- Oversee third party contracts to ensure the correct standard of service is provided in accordance with the agreed contract.
- Regular monitoring of the key performance indicators and taking remedial action as applicable to ensure the required standards are maintained and constantly improved for the full range of buildings.
- Further develop and maintain excellent internal stakeholder relationships, ensuring that they receive the highest standards of service in relation to their operational needs and attend tenant meetings as applicable.
- Ensuring that all health and safety audits, fire and other evacuations, family room and wellness centre are carried out on a regular basis in accordance with the laid down requirements, the emergency plan and related site maps are continually updated.
- Manage risk and deal with insurance compliance onsite with regards to both public and statutory bodies as applicable.
- Ensure a Crisis Management plan is in place for all properties responsible for and that this is reviewed and tested annually.
- Assist with the compilation of external contracts in conjunction with the Facilities Superintendent and the Procurement team.
Qualifications and Experience:
- Experience managing large and multi-faceted office environments, with a track record of effective budget management.
- Utilisation and integration of technology and forward-thinking initiatives to effectively manage office and facilities implementation.
- Examples of exercising sound judgement, leading and facilitating decision making on issues among multiple stakeholders.
- Exceptional interpersonal skills and personal resilience to working to strict timelines/different styles of leadership.
- Ability to influence stakeholders at all levels in an organisation to act promptly.
- Highly IT literate and able to use facility management tools.
