About the role

We are looking for a Ship Agent to provide Ship Agency service for our Gove Operations. The successful candidate will be responsible for ensuring the required documentation is completed on time to facilitate the timely arrival and departure of ships to/from the Port. It is essential that accurate shipping data is maintained and reported and a customer service focus in different situations especially when dealing with diverse backgrounds is upheld. Reporting to the Superintendent Port Operations and Infrastructure, Gove Operations, you will:
- Apply the policy to the way we work and participate in HSE activities.
- General environmental duty. Not to carry out any activity that causes or is likely to cause environmental harm
- General duty of care to self and others
- Undertake quality pre-task risk assessments i.e. JSEA, Take 5, pre-start checks etc.
- During task, update Take 5 and JSEA
- Undertake all required HSE training
- Alert team leaders if the relevant documents or procedures are not current or available where they are required
- Follow all documented procedures
- Only undertake tasks that you are competent to perform
- Act as directed in an emergency/disaster situation
- Report and record HSE incidents (including near miss incidents) in GIMS
- Ensure any data or information created is accurate and completed (incident data, training/license records, permits, product analysis data etc.)
Pre-arrival clearance documentation
- Customs & border protection documents to/from ship
- Customs & border protection data entry
- DAFF Biosecurity forms and clearance to/ from ship
- Ballast water clearance/paperwork
- Maritime Crew visas/clearance
- Co-ordination with Ship owners
- Liaison with Rio Tinto Marine (Singapore) regarding BOL preparation
- Preparing ships folders Nav and agency
- Port disbursements accounts with owners
Pre-arrival co-ordination with site operations
- Arrival notices
Vessel in Port
- Attending to crew/vessel in port in line with Sub Agency Service
- Signing of documents on arrival
Vessel departure from Port
- Preparing documents for departure (SOF, Mates receipts, BOL)
- Signing of documents ashore at departure
- Signing of documents at departure
Gove Port office tasks
- Invoicing and receipting port services
- Data entry of shipping schedule
- Demurrage Reporting
- Bauxite Shipping Report
- Shipping Data entry into Gove database
- Recording and transposing of delays into Gove SOF Template
- Entering delays into Gove database
- Assist visiting crews as directed
About you
To be successfully considered for this role, you will have:
- Demonstrated experience as a ship agent and working in a cross-cultural environment is advantageous
- To be available to accommodate the needs of shipping at night at short notice.
- Ability to think, act and work independently
- Methodical with a high level of attention to detail
- Process oriented
- Demonstrated ability to manage time, prioritise tasks and meet tight deadlines
- High level of computer literacy
- Well-developed interpersonal skills to deal with a range of people including Agents, Charterers, customers and internal personnel
Currently held or the ability to obtain
- A Current Maritime Security Identification Card
- Radio Operators Certificate of Proficiency
- A Class Drivers Licence

Where you will be working
Our Gove Operations have been supplying the global aluminium industry with world-class bauxite for more than 40 years. Located in Australia’s Northern Territory, each year the operation produces approximately 12 million tonnes of bauxite.
With a workforce of 460 people, daily activities include mine operations, maintenance, asset management, shutdown planning and execution, export operations, cultural heritage management, and closure activities following our decision to close the site’s alumina refinery and associated Residue Disposal Area in 2017.
We expect our bauxite mining operations on the Gove Peninsula will cease in 2030 and we are undertaking significant work to support closure of the operation. We also recognise our operations take place on Indigenous-owned land, and we are committed to working together to achieve a positive future for Nhulunbuy and the Gove Peninsula post-mining.
