About the Role

  • Coordinate Training and Authorisations to support the delivery of Major Shutdowns across BMA mine sites 
  • Manage site access when Shutdown is excised for Major Shutdowns SHMS
  • Provide day-to-day administrative support to the Major Shutdowns Department (MSD) as required

Accountabilities: 

  • Manage site inductions, training, authorisations, VOCs, supervisor appointments, and work area familiarisations for all personnel involved in the Shutdown (enroll and manage site inductions and SOP’s through the Success Factors system and training register)
  • Manage Permit to Work authorisations inclusive of Permit Issuer, Permit Holder and Authorised Isolators
  • Undertake A&I verification on training documents, data enter and upload into the success factors data base
  • Scan and save documents into the Document Management System and archive in accordance with the document management procedure
  • Manage RightCrowd site access for all employees and contractors attending MSD
  • Coordinate site visitors through RightCrowd
  • Create and maintain the MSD Team Fatigue Roster during execution including flights and accommodation
  • Manage and maintain the Site Admin File; including but not limited to the Crew List, Crew Rosters, Fatigue Hours Daily Reporting, Resource Plan, shift Sign on Sheets 
  • Maintain MSD Site Access Entry Criteria for each Shutdown
  • Manage MSD Admin Email address
  • Manage all electronic device authorisations (includes phones/cameras/PC’s etc)
  • Organise and manage events i.e. alignment sessions, catering and logistics as required 
  • Record minutes of meetings as required
  • Manage purchasing of stationary, office equipment, staff uniforms, printer consumables and ad-hoc items required by the shutdown team
  • Other tasks as required

About You

  • Proficient use of MS office suite to a high level
  • Positive attitude and ability to manage pressure effectively
  • Personal resilience and persistence when dealing with changes, challenges, and unplanned requests
  • High attention to detail and data accuracy
  • Strong interpersonal skills including effective communicator, team player
  • Self-manage, self-motivated and disciplined time management to complete workload
  • Ability to accept constructive feedback and open to change and new ideas
