About the Role

The Specialist (Board Management Office) has responsibility for supporting the Group Governance team to manage logistics and administration for Board weeks, Board Committee(s) and other dedicated project and transaction related committees. The role also supports Director site visits and is accountable for Director related administration. You will contribute to the support of the Chair, Chief Executive Officer (CEO), Board, Board Committees and management.

This role would ideally be suited to an Executive Administrator looking to get exposure to working directly with supporting the board working with the Group Goverance team.

This is a full time position based in the BHP Melbourne office, flexible work options are available.

The Specialist (Board Management Office) is accountable for: 

  • Board week logistics, events and travel: working closely with the Lead Specialist (Board Management Office) to manage Board meetings and associated events, including management of catering, group dinners and events, and travel arrangements.
  • Director Administration: act as a key contact and central management point for management of Director related administration tasks, including expenses, induction processes (on-boarding and off-boarding), management of the Director movement schedule, and Directors’ remuneration administration. 
  • Site Visit management: supporting Director Site Visits including distribution of pre-read, accommodation and flights and general logistics support. 
  • Board Committees: supporting Committee Secretaries to manage specific Committee meetings, including distribution of pre-read materials and record retention.  
  • Projects: supporting the Group Governance team to manage Board Sub-Committees set up from time to time for key transactions or projects, including distribution of pre-read materials and record retention.  
  • AGM: administration support for the AGM, including Director travel arrangements and transfers.  

About You

You will bring to the team your strong organisational and administrative skills working for senior management. At BHP we are used to an everchanging environment so you are adaptable to change, work well with ambiguity and always committed to continuous improvement.

Ability to work autonomously is important but you also work effectively within a team and have the ability to prioritise multiple critical tasks and flexibility to alter priorities.   Demonstrated ability to plan, coordinate and deliver projects involving multiple key stakeholders is critical which often requires an ability to integrate and plan a range of activities.
