About the Role
Reporting to the Head of Governance Regulatory & Chairman’s office, this role provides administrative, project management and logistical support to the Board, Board Committees and Directors, while upholding BHP’s governance standards and regulatory requirements. This role ensures the seamless execution of Board events, engagements and meetings for Directors, supports company secretariat matters including Director on-boarding and off-boarding, Director training and Director site visits.
Accountabilities will include:
Board program project management
- Leads the planning, coordination, and execution of all Board engagements and internal and external events.
- Manages budgets for Board engagements and internal and external events.
Committee, Project and Special Committees
- Provides support on the execution of the end-to-end lifecycle of administrative support for Committee meetings, including Committee agenda preparation and papers process and accurate record-keeping.
- Ensures timely and compliant management of records for Committee papers and minutes.
Directors’ Support
- Provides support on Director induction and Director on-boarding and off-boarding.Liases with Directors in relation to logistics, administrative and meeting arrangements.
Site Visits
- Arrange logistics for Director site visits.
- Works with Assets to assist in itinerary planning and Director support.
- Compiles pre-read for Director site visits.
About You
- Communication: Excellent verbal and written communication (with personnel at all levels (including senior management)
- Stakeholder Management: Demonstrated ability to win the trust and confidence of senior personnel and operate as a trusted adviser
- Organisation skills: Excellent organisational skills with an aptitude to manage multiple projects and meet deadlines.
- Adaptable: Adaptable to and embraces change; works well with ambiguity; ability to prioritise multiple critical tasks, and flexibility to alter priorities as circumstances change
- High Performance: High achieving, motivated, positive outlook, enthusiastic and performance driven
- Step Up: Indicates a willingness to speak up, take responsibility and lead outcomes
- Team Player: Ability to work autonomously but also works effectively within a team and is a positive contributor to the team
- Experienced skills in Microsoft Office products (PowerPoint, Excel and Word), Documentum, 1SAP, Sharepoint
- Previous experience with governance and Board processes
- Experience using Diligent or Boardvantage
This is a 12 month part-time contract role working 3-4 days per week.
