About the Role
- This position can be based in our Melbourne, Brisbane, Perth or Adelaide office.
- This vacancy will accept applications until 11:59pm AEST on 2nd January 2024.
In this role, you will partner with the Vice President Corporate Affairs and Communications Australia and relevant sub-teams to ensure the smooth running of the team through the provision of administrative support.
In addition, this role supports the delivery and embedment of the broader Corporate Affairs and Communications strategy by providing analytical, process and logistics support across the team.
Your responsibilities will include:
- Provide daily high-level support with logistics, email and diary management for the Vice President
- Develop a forward schedule for the Vice President in respect to time in field, employee engagement, leadership routines and external engagements.
- Planning and coordination of the regional Leadership Team, including meetings, preparation of materials and minute taking.
- Manage supply and procurement processes for the team, including raising purchase orders, developing contracts and vendor management.
- Manage submissions, endorsements and approvals in the Vice President’s Office
- Monitor and analyse budget performance for all cost centres owned by the Vice President.
- Collation and contribution to the writing of routine and ad hoc reports.
- Provide support for specific projects requiring Corporate Affairs expertise.
- Maintain up to date working knowledge of all BHP technology, compliance, training and people systems as they may apply to the broader team.
- Drive and champion the use of tools and technology within the team and the broader business to optimise time and increase collaboration.
About You
- Significant experience in supporting a Senior Executive of a large multinational organisation.
- Proven experience working with teams and leaders in remote environments and the ability to troubleshoot issues via virtual technology.
- Proven ability to work with conflicting priorities and time critical deadlines.
- Demonstrated experience of managing large volumes of electronic material, including emails, meeting agendas and associated documentation, board papers and other material.
- Strong experience in project management and event planning logistics.
- Effective verbal and written communication skills.
- Proven ability to build and maintain relationships with internal and external stakeholders.
- Adaptable to and embraces change; can pivot workload and priorities; and can work with ambiguity
- Indicates a willingness to take responsibility and initiate and lead outcomes.
