Team Administrator / Facilities Management

Work Location: Brisbane 

Work Type: Full time 

Roster: 5:2

We are seeking an experienced Administrator to join our dynamic and fast-moving team. The successful candidate will be based at Fortescue's office in Fortitude Valley, Brisbane, and will be responsible for providing high level administrative support to the Australia East & New Zealand team, along with other members of FFI who are Brisbane based.

Key accountabilities will include:

  • Liaison with Contractors, Management and the wider FFI team
  • Calendar / diary management – of self, facilities services and other managers as required
  • Scheduling meetings, assist in preparing agenda and taking meeting minutes, and following up actions
  • Organise travel arrangements for AENZ team
  • Management of new starter co-ordination and mobilisation
  • SAP requisitions and receipting
  • SharePoint maintenance
  • Document management (creation / formatting / electronic storage of correspondence)
  • Responsible for front of house for the Brisbane Office – greeting visitors, couriers, mail distribution
  • Facilities management services – stationery stocks, security, maintenance services
  • Point of contact for building management
  • Assistance with office setup elsewhere for the east coast team, as required
  • General administrative assistance as required

Qualifications and skills required:

  • Experience in a similar building facilities management role is advantageous
  • Must be professional and work in a confidential manner
  • Must have the ability to work autonomously, use initiative, be proactive and be able to prioritise conflicting work loads
  • Must have intermediate to advanced software skills in Microsoft office suite
  • Must have strong written and verbal communication skills
  • Industry experience will be highly regarded
  • Candidates must be able to bring a flexible mindset, challenge traditional thinking, and be prepared to work outside of their comfort zone
