The Workplace Experience and Events Specialist supports the delivery of a professional, welcoming and well-organised corporate office experience across Fortescue’s corporate office environment. The role coordinates practical event support, workplace communications for the Property, Travel and Security team and shared space activation, while providing hands-on support for internal events, workshops, leadership sessions and team gatherings.
Working closely with Property, Facilities, AV, Security, Reception, Catering, Cleaning and Communications teams, the role also supports workplace change initiatives, service improvements and continuous improvement activities that enhance the experience of team members, visitors and stakeholders.
Key Responsibilities
- Coordinate practical support for internal events, town halls, workshops, leadership sessions and team gatherings across corporate office spaces.
- Support room layout planning, furniture configuration, signage, catering coordination and event logistics.
- Act as a central point of contact for teams hosting events in shared office spaces.
- Coordinate with Facilities, AV, Security, Reception, Catering, Cleaning and other support teams to ensure events are delivered safely and professionally.
- Support event set-up, troubleshooting, pack-down and post-event follow-up where required.
- Assist with workplace activation initiatives that improve how shared office spaces are used and experienced.
- Support simple, user-friendly processes for booking, accessing and using shared spaces.
- Draft and coordinate workplace communications supporting the Property, Travel and Security teams.
- Support workplace change activities, including office changes, relocations, service improvements and new ways of working.
- Capture feedback, identify service gaps and contribute to continuous improvement of workplace services and employee-facing support.
Qualifications and Experience
- Demonstrated experience in workplace experience, corporate facilities, office services, employee experience or a closely related corporate service environment.
- Proven experience coordinating internal corporate events, workshops, leadership sessions or large meetings, including room set-up, catering, signage and event logistics.
- Experience working in a large, complex corporate office environment with multiple internal service teams and stakeholders.
- Strong stakeholder management experience, including confidence supporting senior leaders, employees, visitors, vendors and service providers.
- Demonstrated ability to manage multiple competing priorities, last-minute requests and time-sensitive activities while maintaining a high standard of service.
- Strong written communication skills, with experience preparing workplace communications, briefing materials, FAQs, user guides or event instructions.
- Experience supporting workplace change initiatives, office moves, service improvements or employee-facing change activities.
- Practical experience working across functions such as Property, Facilities, AV, Security, Reception, Catering, Cleaning or Communications.
- Strong customer service and problem-solving capability, with a track record of identifying service gaps and improving the workplace experience.
- Highly organised, proactive and hands-on, with strong attention to detail and the ability to take ownership of tasks through to completion.
